The Person We Are Looking For
You love customer service and are looking for a career in audio production or account management.
As the face of the studios and the first point of contact for most visitors, you will effortlessly welcome and assist clients, ensuring their comfort and needs are met through impeccable service, a warm demeanour, and clear communication.
Your adept multitasking abilities will shine as you navigate busy reception periods with poise, and prepare studios for upcoming sessions, all while upholding an impeccable attention to detail and a positive attitude.
Beyond client care, you will play an integral role in our production operations by providing administrative support to all teams, from account management to production.
This is a varied role, helping with client liaison, project management, voiceover casting, scheduling, proof-reading, preparing assets, overseeing scripts, invoices and receipts, as well as stock-taking, running reports, updating our CRM system, organising events and helping with data entry.
This position may lead to a career in audio production or account management.
Key responsibilities
Front of House Elements:
Meeting and greeting clients, actors and guests into the building, adhering to strict check in / check out procedures
Providing food and refreshments to all visitors
Answering the phone and taking incoming messages
Providing guests with access passes where applicable
Help with unlocking/locking and alarming premises
Ensuring the studios, communal areas and kitchenettes are sufficiently stocked and organising regular stock takes
General cleaning duties, including tidy down of studios, communal areas and kitchenettes (including emptying dishwashers, Hoovering, wiping down of surfaces, etc.)
Maintaining any equipment specifically used for hospitality (coffee machines, etc.)
Manage receipts and additional administrative support
Postal or courier administration
Support dealing with any additional cleaning issues via an external supplier
Assisting with the planning and organisation of team social events.
Audio Team Assistant Elements:
Assist with proof reading, voiceover castings and music selection for ads
Support the account management team to deliver media campaigns and creative projects
Liaise with clients when needed
Help with scheduling of remote and studio recordings
Use scheduling systems to input and track projects from brief to broadcast
Logging and approvals of third party costs, invoices and cost tracking
Supporting teams across all aspects of admin.
Essential Requirements:
Hospitality experience is a must
Fluent in conversational French
Able to work in the office 5 days a week. Remote working not available
An interest in a fast-paced working environment - no two days are the same!
A high level of organisational skills and experience
Excellent attention to detail
Friendly and proactive and able to work on your own initiative
Ability to problem solve and work under pressure
Confident, friendly, approachable and a team player
Good level of experience of using Apple Macs and Google docs
An understanding of receipt management and basic cost-tracking
Confidence and calm under pressure dealing with celebrity clientele
Must be eligible to work in the UK.
Bonus Points:
First Aid or Fire Warden training
Previous Production experience is essential, preferably in a post production facility.
Working Hours / Requirements:
This role's based onsite at our studios on Tottenham Court Road, London, 5 days a week, with no remote working.
9 hour day, including 1 hour lunch break.
Daily start/end times will vary based on session start/ends. Requirements for most days range between 8am - 6pm with occasional evening work required.
Salary and Benefits:
£27,500 per annum
25 days leave per annum, with 3 to be taken between Christmas & New Year. This entitlement is in addition to the usual 8 UK bank and public holidays
